This update covers everything shipped to Hireroad Recruit between Tuesday 14 July and Friday 17 July 2026. The headline items are the ability to attach reference documents when marking a reference as received, a much richer form builder for referee and reference forms including repeatable field groups, and far clearer feedback when a job board posting fails. GOV.UK Find a Job postings also now publish immediately and are properly removed when a job closes.

Attach documents when marking a reference as received

When a reference arrives outside Recruit, for example by email or post, you can now attach the document itself. Marking a reference as received from the candidate's referee card opens a new dialog with an optional file picker, accepting PDF, DOC, DOCX, RTF, and TXT files, up to five per reference. Attaching a file is optional, so you can still mark a reference received without one. Uploaded documents then appear on the referee card under an Attached files heading, where they can be previewed or downloaded by your team.

Repeatable field groups, sections, and PII controls on referee and reference forms

Building on the form builder improvements in the last release, referee and reference form editors now support three more capabilities from the standard form builder:

  • Repeatable field groups: Group a set of fields under a label such as "Previous Employment" and let referees add as many entries as they need. Each entry is numbered, with buttons to add another entry or remove one, and every entry is captured in the reference response.
  • Sections: Group related fields under named headings within a page, so longer forms are easier for referees to follow.
  • PII marking: Individual fields can now be marked as containing personally identifiable information, with a PII category, matching the control already available on application forms.

See exactly why a job board posting failed

When a job board posting fails its pre-delivery checks, Recruit now shows a structured breakdown instead of a bare error. The error dialog and the job's board postings view list each validation issue by field, with its message, a severity of Required Fix or Warning, and a badge showing whether the problem lies in the job content, the board configuration, or the board itself. Long lists collapse with a "Show more" toggle. Postings with unresolved required issues can no longer be force-sent, and stale error detail is now cleared when a posting is retried or reactivated, so a fixed posting no longer displays an old failure.

Improvements

GOV.UK Find a Job postings

  • Published immediately: A successful upload to GOV.UK Find a Job now shows as Published straight away, rather than sitting in a Sent state for several hours. The overnight feedback check remains as a safety net and will mark a posting as Failed if GOV.UK later rejects it.
  • Removed when a job closes: Closing or unpublishing a job now removes the vacancy from the GOV.UK Find a Job site itself. Previously the posting was only removed within Recruit and could linger on the public site.

Referral links limited to published jobs

Referral links can now only be created for published jobs. The Create Referral Link button on a job's Referrals tab appears only while the job is published, though the tab and any existing links stay visible in every status. A candidate who follows a referral link to a job that has since closed now sees a clear message that the role is no longer available, instead of a generic page-not-found error.

Edit job settings on live jobs

Admin and HR users can now change a live job's Settings tab options, including Confidential Shortlisting, Blind Scoring, and rejection email settings, without needing the organisation-wide "allow edits after approval" setting. Job Details remain locked after approval as before, and if an edit is blocked the reason shown is now specific rather than a generic permission error.

Move candidates to the talent pool at any time

Candidates can now be moved to the talent pool while they still have active applications, using either the single or bulk Move to Pool action. Previously the move was rejected until every application had been withdrawn or rejected. The candidate's applications and timeline are left untouched, and the candidate appears in both the Talent Pool tab and the Active list.

Sticky formatting toolbar in long editors

The formatting toolbar in the rich text editor now stays pinned to the top of the editor while you scroll, so you can format lower sections of long content, such as offer documents, email templates, and careers pages, without scrolling back to the top.

LinkedIn Limited configuration validation

The LinkedIn Limited board configuration now requires a Company ID and Poster Email before it can be saved, with inline validation on both. Previously the board could be enabled without them, which caused every posting to fail with an unclear error.

Bug fixes

Forms and signatures

  • Signatures showed as raw text: Signature answers now render as an actual signature image on the candidate profile, in the shortlisting review modal, and in application form PDFs, instead of a long block of encoded text. A related fix ensures the signature image on the public offer page displays correctly.
  • Conditional fields hidden on first load: On the public application form, fields set to appear when a checkbox is unticked now show correctly from the start. Previously they stayed hidden until the candidate ticked and unticked the box, which could lead to applications submitted without those answers.
  • Conditionally required justification fields: Justification fields that are only required under a condition now show a required marker and are validated before submission, with an inline error on the specific field. Blocking messages also now name the field by its label rather than an internal identifier.

Shortlisting

  • Candidates unreachable in disabled stages: Shortlisting stages whose configurations were all disabled no longer disappear from the Shortlisting tab. Every stage now appears in the stage selector, and selecting one with a disabled configuration shows a notice while still listing its candidates.

Job boards

  • Postings failed for organisations without a custom careers domain: Organisations using a standard Recruit careers address rather than their own domain can now post to external job boards. Previously the job URL was built empty and postings to boards such as Indeed and LinkedIn failed.
  • Platform boards could not be re-enabled after a reset: Boards that do not require your own credentials, such as GOV.UK Find a Job, Adzuna, and Indeed, can now be switched back on with the enable toggle after a reset, instead of erroring.
  • Retrying a posting after a configuration fix: A failed posting can now be retried after correcting the board's configuration, where previously the retry was only allowed once the job itself had been edited. If a retry cannot go ahead, an error message now explains why instead of nothing happening.

Interface polish

  • Reports "Clear all" button: The Clear all button on report filters now has visible contrast, making it clearly identifiable as a button.
  • Document review modal spacing: The next and previous candidate arrows in the document review modal no longer sit against the modal's close button.
  • Referrals search icon: The magnifying glass icon in the referrals job search field is now vertically centred.
  • Public application form contrast: Input borders and helper text on the public application form have been darkened to meet WCAG AA accessibility contrast standards.
