Offer letters, contracts, and offer emails are all managed as reusable templates under Settings > Offer Setup, across four tabs: Offer Types, Offer Fields, Offer Documents, and Offer Emails.
Merge fields
Every template can pull in candidate and job details automatically using merge fields, rather than you typing them in by hand each time. Common offer email fields include candidate name, job title, offer amount, start date, the candidate's offer link, and recruiter name. Offer documents (the letter and contract) use their own, slightly different set, including salary period, bonus, holiday days, hours per week, and expiry date.
Recruit only shows you the merge fields that are actually available for the type of template you're editing, so you won't accidentally add a field that can't be filled in when the offer is sent.
Managing offer emails
- Go to the Offer Emails tab.
- Select Add offer email to create one, giving it a name and choosing a category (Offer or Offer Accepted).
- Edit the Name, Subject, and Body. A merge-field palette above the editor lets you click a field to copy it into your text.
- Select Preview to see how it renders with sample data before saving.
- Select Save, or Delete to remove a template you no longer need.
Managing offer fields
The Offer Fields tab is where you add custom fields to appear on the offer form itself, for example something specific to your organisation. Fields can be text or dropdown, and you can reorder them and set dropdown options as needed.
If you can't see these settings
Template management requires specific permissions. If you don't have access, you'll see a message explaining that you need an administrator to make changes on your behalf.
