How interview scheduling works
Interview Events, the building block behind every scheduled interview.
Interview Events, the building block behind every scheduled interview.
Interviews in Recruit are built on Interview Events, configured against a specific pipeline stage on a job's Events tab. Understanding how these work makes it much easier to set up scheduling correctly.
Choosing a scheduling type
When you create an event, you choose one of three types:
- Calendar availability: candidates self-book into slots pulled automatically from your team's connected calendars.
- Slot-based: you define a fixed set of time slots manually, and candidates book from a public page.
- Static: one fixed date and time, with no self-booking at all.
Only one calendar-availability event is allowed per stage. If a stage already has one, you'll see a note that it "already has a calendar event" when you try to add another.
Setting up the event
After choosing a type, you'll:
- Pick the stage this event applies to, or add a new stage on the spot.
- Fill in the event's Details: title, description, format (online or in person), location or meeting link, duration, and timezone.
- Choose attendees: tick which job team members are Required Attendees, and choose a Primary Interviewer.
Timezones
Set the event's timezone carefully; slots are interpreted in that timezone, and candidates always see times converted automatically into their own local timezone, so there's no need to do that conversion yourself.
Where this fits with scheduling
Once an event exists, candidates on a calendar-availability or slot-based stage can book themselves in (see Candidate self-scheduling links), and everything scheduled appears on The interviews page.
