Making an offer

Sending an offer letter, contract, and email from a candidate's profile.

Sending an offer letter, contract, and email from a candidate's profile.

Offers are sent from a candidate's profile. Select Send Offer (or New Offer) to open the offer form.

Choosing the job

If the candidate has more than one active application, you'll be asked to choose which job the offer is for first. With only one active application, this step is skipped.

Filling in the offer

  • Offer template and Contract template: optional. Pick saved templates for the letter and contract, or leave blank to use your organisation's default.
  • Offer email template: defaults to the first Offer-category email template if you don't choose one.
  • Offer type: optional, but picking one automatically fills in that type's default letter and contract templates, saving you a step.
  • Salary (required) and Period (Annual, Monthly, or Hourly).
  • Start Date: required, unless the offer type is Provisional, in which case it's optional.
  • Signing Bonus, Holiday Days (defaults to 25), and Hours per Week (out-of-range values are corrected automatically with an on-screen hint).
  • Expires In (days): defaults to 7. This sets how long the candidate has to respond before the offer expires automatically.
  • Any custom offer fields your organisation has added.
  • Attachments: PDF, Word, Excel, PNG, or JPG, up to 25MB per file and 5 files total.

If you want to start onboarding automatically once the candidate accepts, turn on Auto-start onboarding on acceptance and choose an onboarding template.

Reviewing before you send

Where available, a Review & edit button next to the offer letter, contract, or email opens a preview you can adjust just for this send. Changes made there apply only to this offer, they don't overwrite your saved templates.

A "What happens next" summary reminds you of the flow: the candidate receives the offer by email, can view the full letter online, and can accept or decline with one click. You'll be notified either way.

Select Send Offer once salary and start date (where required) are filled in.

See Offer lifecycle for what happens after you send it.
