Merging duplicate candidate records
Keeping one candidate as one record, even if they've applied more than once.
Keeping one candidate as one record, even if they've applied more than once.
If the same person ends up with more than one candidate record, from applying twice with different details, for example, Recruit flags it so you can merge them into one.
Spotting a duplicate
Recruit checks for likely duplicates by matching name and phone number, or a shared email address, and shows a Duplicate badge with a confidence level, high or medium, and the reason it matched, name, phone, or both.
Reviewing before you merge
Select the duplicate badge to open Merge Preview, a side-by-side comparison of both records so you can see exactly what will be kept and what will come from the other record, along with a preview of the combined tags and a summary of how many applications and documents will transfer across.
If both records have an active application on the same job, you'll see a warning about the overlap. You'll need to withdraw or reject one of the applications before the merge can go ahead, Recruit won't merge two active applications on the same job automatically.
Completing the merge
Once you're happy with the preview, select Confirm Merge. This can't be undone, so it's worth taking a moment to check the comparison table carefully first, especially if the two records don't agree on basic details like name or contact information.
