What each offer status means and what triggers the next one.
Every offer in Recruit moves through a defined set of statuses. Understanding them helps you know what's still in your control and what's waiting on the candidate.
The statuses
- Draft: created but not yet sent. Only draft offers can be sent.
- Sent: delivered to the candidate by email, with a link they can use to respond. Only sent offers can be withdrawn.
- Accepted: the candidate accepted, optionally after e-signing, through their offer link.
- Declined: the candidate declined through the same link, optionally leaving a reason.
- Expired: the candidate didn't respond before the offer's expiry date. If they try to respond after expiry, Recruit automatically marks it expired and rejects the action.
- Withdrawn: you cancelled the offer before the candidate responded.
- Superseded: a new offer was sent to the same candidate for the same job while an earlier one was still outstanding.
Withdrawing an offer
Select Withdraw offer on a sent offer. This opens a dialog explaining that the candidate will be notified and their offer link deactivated. You can edit the subject and message before confirming. Once withdrawn, the candidate's original link no longer works.
Sending a second offer
If you send a new offer to a candidate who already has one outstanding for the same job, Recruit asks how you'd like to proceed:
- Send additional offer: keeps both active.
- Supersede existing offer: cancels the earlier one in favour of the new one.
- Cancel: discards the new offer you were about to send.
Tracking offer history
The candidate's Offer History shows every offer sent, its status, and relevant dates: when it was sent, when it expires, and when the candidate responded. If an offer was declined, the reason (if given) appears here too. Once an offer is accepted and signed, you can download the signed contract directly from this history.
