This update covers everything shipped to Hireroad Recruit between Friday 2 May and Thursday 7 May 2026. It includes a major new job creation workflow, improved invite management, new automation tooling, and a broad range of refinements across the platform.

What's new

Unified job creation wizard

A new five-step job creation wizard is now available when approvals are disabled on your account.

  • The wizard consolidates all job setup into a single, structured flow covering job details, application form, approval, and posting.
  • Resuming an in-progress job draft takes you back to the correct step automatically.
  • A progress bar shows where you are across all five steps.
  • The template picker is available at step one, consistent with the previous flow.

Block applications after closing date

Application submissions are now automatically blocked once a job's closing date has passed.

  • Candidates who attempt to apply after the closing date see a clear message that the role is no longer accepting applications.

User invite management

The User management settings page now shows the status of pending and failed invites, with actions to retry or cancel them.

  • Users with a pending or failed invite show a status badge in the user list.
  • Use the Retry action to re-send a failed invite.
  • Use the Cancel action to withdraw a pending invite before it is accepted.
  • Re-sending an invite to an email address that already has a pending invite is blocked to prevent duplicate invitations.

Automation workflow reminders

A new Automation settings surface lets you configure reminder workflows for candidate and onboarding activity.

  • Access automation settings from Settings, under Automation.
  • Configure the timing and triggers for automated reminder dispatches.
  • Existing reminder schedules have been migrated to the new configuration system automatically.

Source tracking on application forms

A source dropdown is now shown on public careers application forms so candidates can indicate how they found the role.

  • The dropdown is populated from your configured candidate sources.
  • System-generated sources are filtered out and not presented to candidates.
  • Source values selected by candidates flow through to reports and the candidate profile.

Per-user approval email notifications

You can now control which users receive approval notification emails via per-user toggles.

  • Find the toggle on each user's profile in Settings, under User management.
  • Turning off the toggle for a user prevents them from receiving approval email notifications, without affecting other notification types.

Email signature raw HTML editing

Email signatures now support a raw HTML editing mode for advanced formatting.

  • Switch to HTML mode from within the signature editor to edit the underlying markup directly.
  • Standard formatting through the rich text toolbar continues to work as before.

Archive and restore job templates

Job templates can now be archived to remove them from active use without deleting them permanently.

  • Open the job templates list in Settings and use the Archive action on any template.
  • Archived templates are hidden from the active list but accessible in the new Archived tab.
  • Use the Restore action to return an archived template to the active list at any time.

Indeed Job Sync API

Indeed postings are now managed through the Indeed Job Sync API. The legacy Indeed Tray integration has been retired.

  • No action is required if you were using the previous Indeed integration; your connection has been migrated automatically.
  • The new integration supports real-time sync and more reliable posting status reporting.

Indeed settings in the UI

Publisher details and content category for Indeed are now configurable directly in the Settings UI.

  • Set Publisher, Publisher URL, and Category from Settings, under Integrations, in the Indeed configuration.
  • Previously these values required a code change to update.

Reference request email templates

Reference requests are now sent via a selectable, editable email template.

  • When sending a reference request, choose from available templates or edit the content before sending.
  • The template supports merge fields for candidate name, role title, and other contextual values.

Global search includes references

Global search now returns results when you search by a candidate's reference number.

  • Enter a full or partial reference number in the global search bar to find matching candidates and applications.

Drag to add interview timeslots

You can now drag across the availability calendar to add multiple interview timeslots in a single action.

  • Click and drag over a range of cells to select them, then confirm to add all selected slots at once.
  • Individual cells can still be toggled with a single click as before.
  • Only the primary mouse button starts a drag; right and middle clicks are ignored.

DEI reports restricted to admins

Access to DEI (diversity, equity, and inclusion) reports is now restricted to admin users.

  • Non-admin users no longer see the DEI reports section in Reports and insights.
  • Admin access is unchanged.

Job board description character limits

Character limits are now enforced per enabled job board when writing a job description.

  • The character count indicator updates to reflect the most restrictive limit across your connected job boards.
  • Exceeding the limit is flagged inline before you can submit.

Stable job feed URLs

Job board feeds now use stable, token-based URLs that are unique per tenant and do not change.

  • Feed URLs are available from Settings, under Integrations.
  • Token-based access means the URL remains valid without needing to regenerate it after configuration changes.

HR location access

HR users can now be restricted to a specific location, limiting the jobs and candidates they can see to those at their assigned location.

  • Assign a location to an HR user from Settings, under User management.
  • Users without an assigned location continue to see all records as before.

Improvements and fixes

Settings layout

  • Branding and logo settings have moved from Company to Careers settings to better reflect where they are applied.

LinkedIn Limited label

  • The job setup wizard now correctly displays LinkedIn Limited instead of LinkedIn for the limited listings integration.

Onboarding form layout

  • Fixed a layout issue where form fields in onboarding did not wrap correctly on smaller viewports.

Offer start date validation

  • Start date validation is now applied client-side in the send offer dialog before submission, providing immediate feedback without a round-trip to the server.

Document preview

  • Document view links in the candidate profile now open in preview mode rather than triggering a download.

Conditional checkbox labelling

  • Labels on conditional checkboxes in form editors are now clearer, making it easier to understand what the checkbox controls.
  • Tooltip triggers in form editors are now keyboard accessible.

Jobs list filter bar

  • The search and filter toolbar in the jobs list now stays visible when a status filter returns no results, making it easier to change or clear the filter.

Cover letter empty state

  • The cover letter section heading is now preserved when there are no cover letters to display, giving a consistent layout across candidate profiles.

Custom fields on candidate detail

  • Custom fields now render correctly on the candidate detail view.
  • The submit guard on custom field forms has been hardened to prevent submission when required fields are incomplete.

Indeed XML feed

  • The Indeed XML feed has been aligned with the official Indeed specification, correcting several field mappings and required values.

LinkedIn Limited XML feed

  • The LinkedIn Limited Listings XML feed has been updated to align with specification version 1.2.
