Release update: 31/07/2026
This update covers everything shipped to Hireroad Recruit between Friday 24 July and Friday 31 July 2026. The headline items are the ability to send an SMS to a candidate, automatic handling of candidate data deletion requests, and tighter access controls for agency users. There are also several improvements to how jobs post to Indeed, a batch of careers page fixes, and a group of data retention and privacy improvements.
Send an SMS to a candidate
You can now send an SMS to a candidate directly from their candidate page, alongside the existing email options. SMS has also been added as a template type in Communication Templates, so you can save and reuse standard text messages in the same way you already do for emails. This makes it quicker to reach candidates for time-sensitive updates such as interview reminders.
SMS is an optional add-on. If the Send SMS action is not showing for your organisation, please reach out to your account manager to have it enabled.
Automatic handling of candidate data deletion requests
When a candidate asks for their data to be deleted, the request is now actioned automatically after a 7 day grace period, rather than sitting in a queue waiting for an administrator to approve it. During those 7 days an administrator can still cancel the request if it was made in error. This keeps your organisation aligned with data protection expectations without relying on someone remembering to approve each request by hand.
Heading field type for application forms
The form builder now includes a Heading field, letting you break a longer application form page into clearly labelled visual sections. This makes complex forms easier for candidates to read and complete, without changing any of the answers you collect.
Apply button on careers job pages
Job detail pages on the careers site now show an Apply button near the top of the page. Selecting it scrolls the candidate straight down to the application form, so applicants no longer have to scroll past the full job description to find where to apply.
ImprovementsIndeed postings
- Your requisition reference is now sent to Indeed -- Jobs posted to Indeed now carry your own requisition reference rather than an internal system identifier, so postings match the reference you use everywhere else.
- More accurate Indeed location -- The location sent to Indeed is now built from the structured city, region, and postcode fields on the job, giving candidates a more precise location on the Indeed listing.
- Live edits re-sync to Indeed -- Editing a job that is already live now re-sends the updated content to Indeed close to real time, so the Indeed listing reflects your latest changes instead of the version first posted.
Application answers map onto the candidate record
Application forms can now map their answers onto the matching fields on the candidate record, and a dedicated cover letter text field is supported. Details a candidate enters when applying flow through to the right place on their profile automatically, reducing manual re-keying by your team.
Careers location search matches company location
Location search on the careers site now also matches against a job's company location, not just the job's own location. Candidates searching by area will now find relevant roles that are tied to a company location, widening the set of jobs surfaced by a search.
Expired candidate records excluded from search and lists
Candidate records that have been marked as expired are now excluded from search results and day-to-day candidate lists. This keeps everyday views focused on current, actionable candidates rather than records that are no longer relevant.
Consistent search boxes across list pages
The search box has been standardised so it looks and behaves the same way across all list pages. This is a small consistency improvement that makes the interface feel more predictable as you move between different areas of the product.
Bug fixesCareers site
- Expired postings stayed live -- Job postings now come down from the careers site once they pass their expiry date. Previously an expired posting could remain publicly visible and accept applications past the date it should have closed.
- Salary shown as "0" -- Jobs with no salary set no longer display a bare "0" on the careers page. The salary line is now hidden where there is no figure to show.
- Open positions count -- The careers listing now shows the true total of open positions, rather than an incorrect count.
- Careers forms built from the wrong default -- Application forms on the careers page are now built from your organisation's own form template. Previously they could be built from a generic starter default, which meant candidates on the careers site could see a different form to the one you configured.
Applications
- Applying a template no longer deletes submitted answers -- Applying a form template to a job no longer removes answers candidates have already submitted. Previously reapplying a template could wipe existing responses.
- Re-applying with the same email now updates candidate details -- When an existing candidate applies again using the same email address, their name and mobile number are now updated from the new application. Previously these details were left unchanged, so the record could hold out-of-date contact information.
- Signatures showed as text on the review step -- Signature answers now render as an actual signature image on the application review step, instead of a long block of encoded text.
Privacy and data retention
- PII hidden from Member users on confidential jobs -- On confidential shortlisting, fields marked as personally identifiable information are now correctly hidden from Member users viewing a redacted candidate. Previously these fields could still be seen despite the candidate being redacted.
- Retention measured from genuine last activity -- A candidate's data retention period is now measured from their genuine last activity, so records are kept and removed on the correct timeline.
- Anonymisation removes stored documents -- Anonymising a candidate now also removes their stored documents, so no document files are left behind after the candidate's data has been anonymised.
- Retention warnings only where auto-delete is enabled -- Data retention warning emails are now only sent where automatic deletion is actually enabled, so organisations that do not use auto-delete no longer receive warnings that do not apply to them.
