Verifying a candidate's right to work before making an offer.

Recruit tracks each candidate's right to work (RTW) status, and depending on how your organisation has this configured, it can affect whether a candidate can be moved to an offer stage.

Recording right to work

From a candidate's profile, use Add Document to record a right-to-work document: a valid passport, visa or work permit, biometric residence permit, UK birth certificate, a UK Government Share Code check, or another supporting document. Add an expiry date and any notes, and attach a file if you have one. For a share code, there's a direct link to check it on GOV.UK.

Status options are Not Started, In Progress, Verified, Expired, and Failed. Use Update Status to change it as verification progresses.

How this affects the offer stage

If a candidate's status isn't Verified when they're moved into an Offer-type pipeline stage, your organisation's configuration decides what happens next:

  • The move can be blocked outright, with a message explaining that right-to-work verification must be completed first.
  • Or the move can go through with a warning, reminding whoever moved them that verification should be completed before an offer is actually made.

Either way, it's worth checking a candidate's RTW status before assuming they're ready for an offer, rather than relying on the pipeline move alone to catch it.
