Scheduling an ad-hoc interview

For interviews that don't fit the standard pipeline, a second opinion, an executive introduction, or an extra meet and greet.

Sometimes you need an interview that doesn't belong to any of the pipeline's regular stages, a second opinion from another manager, for example, or an informal team meet-and-greet. Recruit handles this as an ad-hoc interview.

Scheduling one

From the candidate's profile, select Schedule Ad-hoc Interview. You'll be asked for:

  • Reason for Interview: Second Opinion, Executive Introduction, Technical Deep-dive, Culture Fit Assessment, Team Meet & Greet, or Other (with a text field to specify).
  • Interviewer: who's conducting it.
  • Date and Time.
  • Interview Type: Video Call, Phone Call, or On-site.
  • Duration.
  • Optional Notes and attachments.

Select Schedule Interview to confirm. Calendar invites go out automatically to everyone involved.

How it's tracked

Ad-hoc interviews are kept separate from the candidate's standard pipeline stages. They show up on the candidate's profile with an Ad-hoc badge, so it's always clear this wasn't part of the regular process.

Cancelling one

If plans change, open the ad-hoc interview and select Cancel Ad-hoc Interview. You'll be asked to confirm before it's removed.
