Setting up an internal careers page

The internal careers page is a second careers page for your own staff. It reuses the headline, tagline and branding of your public careers page, but it lives at its own private link and can show internal roles that the public page never lists. It is switched off until you turn it on.
Who can set it up
Only System Admins can open Settings > Careers Page and change the internal careers page. HR and Member users are turned away from the page. If your organisation has more than one company, use the company selector at the top of the page first, because the internal page is set up separately for each company.
The internal page takes its content from the public page, so set up the headline, tagline and branding first. Those settings are covered in Careers portal settings and branding.
Turn on the internal careers page
- Go to Settings > Careers Page and scroll to the Internal Careers Page section, below the Legal section.
- Switch on Enable internal careers page. The rest of the section appears.
- Under Roles shown, choose All roles (external and internal) or Internal roles only (see the next section).
- Switch on any of the toggles you want (see Choose what the page shows).
- Select Save at the bottom of the Internal Careers Page section. You will see the message "Internal careers page settings saved".
This section has its own Save button. The Save button at the bottom of the whole page saves the public page settings and does not save this section, so use the one inside the section.
Saving with the page enabled creates the internal link, which appears in the Internal embed code field. Turning the page off stops the link working. Turning it back on restores the same link, unless you regenerated it in between.
Choose which roles it shows
- All roles (external and internal) lists every role that is currently open to applicants, including roles that are also on your public careers page.
- Internal roles only lists only roles that are posted to the Internal Careers Page and whose internal posting is still live. A posting stops being live when you unpublish it or when its expiry date passes.
Your public careers page only lists roles that are posted to the Company Careers Page. That is how a role stays internal.
Choose what the page shows
The listing shows a banner with your headline and tagline in your primary colour. Below it are search boxes and filters, then the roles, 20 to a page, with Previous and Next buttons. Each role shows its title, department, location, job type, vacancy reference, closing date and salary where they are set, with a View & Apply button.
These toggles change the internal page only, so it can look different from the public page:
- Hide banner
- Hide department filter, Hide job type filter, Hide job time filter and Hide location filter
- Hide location search and Hide job title search
A filter only appears when at least one role has a value to filter by. If nothing matches, the page says "No open positions at the moment."
Get the link and embed it on your intranet
There are two ways to copy the embed code:
- At the top of the Careers Page settings, open the Copy Embed Code menu and choose Internal careers page. The option is greyed out until the internal page has a link.
- In the Internal Careers Page section, use the button beside the Internal embed code field. The field itself shows the plain web address if you only want to share a link.
The copied embed code is a short piece of HTML with two parts: a frame that shows the page, and a small script that resizes the frame to fit the roles. Paste both parts into an intranet page that accepts HTML. Alternatively, share the web address and staff open it in their browser.
The View Careers Page button at the top opens your public page, not the internal one. To preview the internal page, open its link.
Who can see it and how access works
There is no sign-in on the internal careers page. Access is by link only. Anyone who has the link can open the page and see the roles on it, whether or not they work for you. Put the link somewhere only your staff can reach, such as a page behind your intranet login.
A link that is wrong, out of date, or belongs to a page that has been switched off shows "Careers page not found. This internal careers page isn't available."
Replace the link with Regenerate link
If the link has been shared too widely, select Regenerate link next to the Internal embed code field. It takes effect straight away and does not need Save. You will see "Internal embed link regenerated".
The old link stops working immediately, so any intranet page using the old embed code shows the not-found message until you paste in the new code. This cannot be undone. Regenerating also switches the internal page on if it was off.
Post a job to the internal page
The Internal Careers Page only appears as a publishing option once you have enabled it. When you set up a job, choose where to post it under Publishing Channels in the Publishing step. For a job that is already set up, open the job, go to the Job Boards tab and use Post to More Boards.
- Tick Internal Careers Page to put the role on the internal page.
- Also tick Company Careers Page to put it on the public page as well.
- Leave Company Careers Page unticked to keep the role off the public page.
Every job needs at least one careers page. When only one careers page is ticked in the setup step, its checkbox is locked, so tick the second one before you untick the first. Posting to the internal page is free.
To take a role off the internal page, open the job's Job Boards tab and select Unpublish on the Internal Careers Page posting. A posting also drops off the page when its expiry date passes.
How employees apply and how you track them
Selecting View & Apply opens the role's normal vacancy page, and the application form is the same one external candidates use. The vacancy page is available for roles that have a live Company Careers Page posting, so post a role to both careers pages if employees need to open the vacancy and apply from the internal listing.
Employees are not signed in. They apply with their own details, as any candidate does. The application arrives on the job's pipeline like any other, and your usual application forms, stage emails and permissions apply. The internal page has no source of its own, so you cannot filter your candidates by whether they applied through it.
Privacy policy link and footer
The internal listing has no footer. The vacancy page and application form that employees reach from it are the public ones, so their footer follows Settings > Careers Page: the Privacy Policy URL under Legal, and the Hide privacy policy link in footer toggle under Appearance. Change those there and they apply to internal and public applicants alike.
