Shortlisting candidates

Scoring candidates fairly and consistently at a pipeline stage.

Scoring candidates fairly and consistently at a pipeline stage.

Shortlisting lets you and your colleagues score candidates against a consistent set of criteria at a given pipeline stage, rather than relying on informal impressions alone.

How scoring works

A pipeline stage can have one or more shortlisting checklists attached to it. Each reviewer scores a candidate against the checklist, and their scores contribute to that candidate's overall evaluation for the stage.

Who sees which scores

Two settings on a stage decide what reviewers can see: Blind Scoring and Reviewer Scoping.

  • With Blind Scoring on, reviewers see only their own scores. A reviewer's score is not visible to colleagues at any point, not only until they have submitted their own. Reviewer names are also hidden in results and exports. This keeps every assessment independent of what colleagues have scored.
  • With Reviewer Scoping on, hiring managers and interviewers see only their own evaluation. It does not limit recruiters on the job.
  • System Admin and HR users always see every evaluation, whatever these two settings say.
  • Recruiters on the job see everything unless Blind Scoring is on, in which case they see only their own evaluation.

A reviewer who has no role on the job is treated as scoped. A reviewer who is not allowed to see other people's evaluations can still open a candidate's form, but the form is read-only and shows only what they are allowed to see. For how checklists themselves are built, see Shortlisting checklists.

Pass thresholds and minimum reviewers

A stage can be configured with a pass threshold, so candidates below a certain score are flagged, and a minimum number of reviewers required before a candidate's evaluation is considered complete.

Who can change a stage's shortlisting settings

Reviewers, thresholds, Blind Scoring, Reviewer Scoping and Reapply latest on a job are available to System Admin, HR and the job's hiring lead. Recruiters and hiring managers who are not the hiring lead can see the job but not the Shortlisting Configuration card, and cannot change these settings.

Setting your organisation's defaults

Under Settings > Shortlisting Defaults, you can turn on Enable blind shortlisting by default and Enable confidential shortlisting by default for new jobs, and set a default stage under Reveal candidate details at, where personal details are revealed to reviewers. These defaults apply to jobs created from now on. When you turn one on, Recruit asks whether you also want to apply it to the jobs you already have, or to new jobs only. Individual jobs can still be changed afterwards.

The default for blind shortlisting switches on Blind Scoring for the job as a whole. The Blind Scoring and Reviewer Scoping settings on each stage are configured on the job.
