When you reject a candidate, Recruit can send them an email automatically, but you control whether it's sent immediately, after a delay, or not at all. This is configured per job under Rejection Email Settings.
Setting the delay
Choose an Email Delay Mode:
- No Email: nothing is sent to the candidate.
- Send Immediately: the email goes out as soon as you reject them.
- Delay 24 Hours
- Delay 48 Hours
- Delay 1 Week
The helper text under the dropdown updates to confirm exactly what you've chosen, for example "Sent 24 hours after a candidate is rejected."
Choosing a template
Unless you've chosen No Email, you'll also see an Email template picker. Choose one of your rejection-category templates, or select Use tenant default to fall back to your organisation's standard rejection email.
Select Save once you're happy with your choices. You'll see a confirmation that your rejection email settings have been saved.
What the candidate experiences
If you've set a delay, the candidate doesn't see anything different, they simply receive the rejection email at the delayed time rather than the moment you reject them. This is useful if your organisation prefers not to send instant rejections straight after an interview, for example.
If a stage has its own rejection template configured, that takes priority over the job-level setting, which in turn takes priority over your organisation's overall default. If you're not sure why a particular rejection email looks the way it does, check the stage first, then the job, before assuming something's misconfigured.
