The interviews page

A calendar of booked interviews, plus lists of the interviews waiting for your feedback and the ones you have already completed.

A calendar of booked interviews, plus lists of the interviews waiting for your feedback and the ones you have already completed.

The Interviews page shows interview activity across your jobs in one place, so you do not have to open each job to find what is coming up or what you still owe feedback on. It has three parts: a weekly calendar of booked interviews, a Feedback Required list and a Completed Interviews list. Interviews reach the page because they were booked through a job's events (see "How interview scheduling works").

Who can see the page

System Admin, HR and Member users see Interviews in the main navigation. Agency users do not have it, and if they open the address directly they are taken to the jobs list.

What appears on the page depends on your role.

  • System Admin: every interview in the organisation.
  • HR: interviews on the jobs your location access allows. An HR user restricted to certain locations sees jobs at those locations and jobs with no location set. An HR user with no location access sees nothing on this page.
  • Member: only interviews on jobs where you are the hiring lead or on the job team, and then only the ones you are connected to: you are the recruiter or hiring manager on the job, you are assigned to interview that candidate, or you are in the interviewer pool of that stage. Being an ordinary team member on the job is not enough on its own.

The Job, Interviewer and Location drop-downs follow the same rule for Members, so they list only the jobs, interviewers and locations connected to interviews you can see. System Admin users get the full lists. HR users with restricted location access see only the jobs, interviewers and locations connected to the jobs they can access. The Export button is for System Admin and HR only. Members do not see it. See "Understanding roles and permissions" for how the roles differ elsewhere in Recruit.

The interview calendar

The calendar shows one week at a time, Monday to Friday. It normally covers 08:00 to 17:00 in hourly rows, and adds extra rows automatically when an interview that week starts earlier or later. Today's column is highlighted. Each interview appears in the row for its start hour and shows the start time, the candidate's name, the job title and the stage. Select an interview to open its feedback page.

  • Use the previous week and next week arrows beside Week of and the date to move between weeks.
  • Select Next event to jump to the week of the next upcoming interview. It looks up to a year ahead and respects the job, interviewer and location filters you have set. The button is greyed out with the tooltip No upcoming interviews when there is nothing ahead, and with You're already on the week with the next interview when you are already looking at that week.
  • If that next interview falls on a Saturday or Sunday, a line above the grid tells you the day and date and that it is outside the Monday-to-Friday view.

The calendar lists only interviews that are currently booked and that you have not yet given feedback on. Cancelled bookings are not shown, and an interview disappears from the calendar once you submit your feedback for it. Interviews at a weekend do not appear in the grid. When a week has nothing in it you see No interviews scheduled this week.

The calendar refreshes by itself every minute and whenever you come back to the browser tab, so bookings and cancellations made by other people show up without reloading. The week you are viewing is kept in the page address, so a bookmarked or shared link opens on the same week.

Feedback Required

This list holds interviews where you still owe feedback. An interview joins the list once its start time has passed, and stays until you submit your own feedback or the candidate moves out of that interview stage. Other people's feedback does not remove it: the list is about you, not about the interview as a whole. The newest interviews come first.

Each row shows:

  • a date badge with the day, month and start time;
  • the candidate's name;
  • the job title, the job's location if it has one, and the stage;
  • the interviewers assigned to that candidate, as round initials. Up to three show, with a count such as +2 for the rest. Hover over the initials to see the full names. If nobody is assigned the row says Unassigned.

Select Submit Feedback on a row to open the scorecard. See "Submitting interview feedback" for what happens next. A number beside the heading counts the rows on the current page. When the list is empty you see No pending feedback and a message that you are all caught up.

Completed Interviews

This list holds interviews where you have submitted feedback, while the candidate is still in that interview stage. It has the same layout as Feedback Required, with the newest first. Select View Feedback on a row to open what was submitted. When there is nothing to show you see No completed interviews yet.

Pages of results

Both lists show 10 interviews at a time. When there is more than one page, Previous and Next buttons appear under the list with the current page number. Each list pages independently, and changing a filter takes both back to page 1.

Filtering

The filter bar sits above the calendar and applies to all three parts. The filters combine, so choosing a job and an interviewer shows only that interviewer's interviews on that job.

  • Job: choose one job, or leave it on All jobs. Only jobs that have candidates currently in an interview stage are listed.
  • Interviewer: choose one person assigned as an interviewer, or leave it on All interviewers. The filter matches the interviewers assigned to the candidate at that stage.
  • Location: choose the location of the interview event, for example a venue, or leave it on All locations. This is the event's location, which can differ from the job's location shown on each row.
  • The date range button opens a list of presets (Last 7 days, Last 30 days, Last 12 months, This quarter, Last quarter, This year) beside a two-month calendar where you pick your own start and end dates. It filters on the interview's date and time. It applies to Feedback Required, Completed Interviews and the export, but not to the calendar, which always follows the week you are viewing. Until you choose a range, the button reads Last 12 months but no date limit is applied. The presets end at the current moment, so they show past interviews only.

Once any filter is set, a Clear filters button appears and resets them all. Your filters are kept in the page address, so you can bookmark a filtered view or send the link to a colleague, who will see it through their own access. If the drop-down options cannot be loaded, the filter bar is replaced by Failed to load filters. Reload the page to try again.

Exporting the schedule

System Admin and HR users see an Export button at the top right. It downloads a file called interviews-export.csv that opens in Excel or any spreadsheet program. The export uses the filters you have set at that moment, and HR users get only the interviews their location access allows.

The file has one row per interview with these columns: Candidate Name, Job Title, Stage, Date, Time, Interviewer(s), Location, Section. The Section column says which part of the page the row belongs to: Booked, Feedback Required or Completed. It is not limited to the week on screen or to ten rows a page, so it carries every matching interview. The Booked rows are upcoming interviews starting from now, unless you have chosen a date range. The button reads Exporting... while the file is prepared, then Interview schedule exported successfully appears. If it fails you see Failed to export interview schedule. Please try again.

Candidate names that are hidden

Some candidates appear as Candidate followed by an application reference instead of a name. This happens on jobs with confidential shortlisting until the candidate's identity is revealed, for the people who are not allowed to see it yet, such as hiring managers, interviewers and recruiters on that job. Admin and HR users see real names unless they also hold a hiring manager or interviewer role on that job. Candidates submitted by an agency with their details hidden show as Agency Candidate with a reference, for every role including Admin and HR, until they are revealed. The same names appear in the export. Once a candidate is revealed, the real name shows on the next load. See "Blind scoring and confidential shortlisting" for how revealing works.

If an interview is missing

  • Check the filters, and select Clear filters. A date range hides everything outside it in the two lists.
  • On the calendar, check the week and the hours. Anything at a weekend is not drawn.
  • An interview stays out of Feedback Required until its start time has passed, and leaves it as soon as you submit feedback.
  • If you are a Member, you see an interview only when you are connected to it in one of the ways described under who can see the page. Ask an Admin or HR user to assign you as an interviewer.
  • A cancelled booking, or a candidate who has moved on from the interview stage, no longer appears in the lists.
