How to search, filter, sort and act on jobs from the Jobs page, and which jobs each role can see.
Open Jobs in the left-hand menu to see the jobs you have access to. The page opens on Published jobs only. Drafts, jobs waiting for approval, closed jobs and archived jobs are all there, but you have to change the Status filter to see them. If a job seems to have disappeared, check the Status filter first.
Which jobs you can see
- System Admin: every job in the organisation.
- HR: every job, unless your access has been limited by location. With location limits you see jobs in your locations plus jobs that have no location set. If your HR account has been given no location access, the list is empty.
- Member: only jobs where you are the hiring lead, jobs where you are on the job team, and jobs currently waiting for a decision from an approval group you belong to. Once you have made your decision, or the approval is finished, the job drops off your list unless you are also on the team.
- Agency: only jobs that have been assigned to your agency.
The Location and Department filter options only list values from jobs you can see.
The toolbar
Across the top of the table you will find a search box, four filters (three for Agency users, who have no Created by filter) and, for people who can raise jobs, the Create Job button on the right.
Search
The search box is labelled Search title, location, or department. It also matches a job's internal reference. If you type more than one word, every word has to match somewhere in the job (they do not have to match the same field). The results update as you type.
Filters
- Location and Department: pick one value, or choose All locations or All departments to clear it.
- Status: Draft, Pending Approval, Pending Setup, Approved, Published, Scheduled, Paused, Closed, Archived, or All statuses. The default is Published. If your organisation has approvals switched off, Pending Approval and Approved are removed from this list and their badges are hidden on any old jobs still in those states.
- Created by: All, Me, or a named colleague. Type in the Search people... box inside the menu to find someone. Only active users appear, and you are not repeated in the list because Me already covers you. If two colleagues share a name, their email addresses are shown to tell them apart. Agency users do not see this filter, because it is for your internal recruiting team.
Filters combine: choosing a location and a status shows only jobs that match both. Changing any filter or the search takes you back to page 1. Filters are kept in the page address, so a bookmarked or shared link opens with the same filters applied. To clear a filter, set it back to its All option. To see everything, set Status to All statuses.
Saving your own default filters
If you always want the list to open on the same view, go to your profile settings and find Jobs List Defaults. You can set a default status, location, department and creator, then save. Reset to System Default puts you back on Published. Anything you choose on the Jobs page itself overrides your defaults for that visit. A saved creator default never hides an Agency user's assigned jobs. If you return to the list from a job with the same filters, the page also scrolls back to where you were.
Reading the table
- Role: the job title, a coloured status badge, and the department and location underneath.
- Candidates: shown as "N new / M total". New means candidates on that job nobody has reviewed yet. The number is bold when there is something to review.
- Created: the date the job was created.
- Expiry date: the closing date. It is left as a dash if the job has none.
- Boards: a summary of where the job is advertised. Agency users do not see this column.
The Boards badge shows counts such as "2 posted", "1 failed" or "1 pending", and takes the colour of the worst state: red if anything failed, yellow if anything is still pending, green if everything is posted. A Published job with no live postings shows No live postings in amber, with a tooltip explaining that it has no active board postings and that adding boards will attract candidates. Any other job with nothing posted shows Not posted.
Sorting
Only Created and Expiry date can be sorted. The list starts with the newest created job first. Select a column heading once to sort that column with the latest date first, and again to reverse it. When sorting by expiry, jobs with no expiry date always sit at the bottom in either direction.
System Admin and HR users see jobs with the status Pending Approval at the top of the list whatever the sort, so they appear on page 1 when the list includes them.
Paging
The list shows 20 jobs per page. The footer reads "Showing 1 to 20 of N", with Previous, the page number and Next beside it. The buttons only appear when there is more than one page.
Waiting-for-approval badge
System Admin and HR users see a badge beside the page title reading "N awaiting approval" when the jobs currently on screen include any in Pending Approval. It counts only the rows on the page you are looking at, so it will not appear while the default Published filter is on. Set Status to Pending Approval or All statuses to see it. Those rows are also highlighted. If your organisation has the My approvals item in the left-hand menu, that is the place to see everything waiting on you in one list.
Opening a job and the row menu
Selecting anywhere on a row, or the job title, opens the job's page. The ··· menu at the end of the row has these actions:
- View (everyone): if the job has a live listing on the careers page or internal careers page, View opens that public listing in a new browser tab. If it has none, View opens the job's page inside Recruit. The menu item reads Loading... for a moment while Recruit checks. For Agency users, View always opens the job's page inside Recruit.
- Duplicate (System Admin and HR only): creates a new draft copy and takes you straight to it. The copy carries over the pipeline stages, application form questions, compliance packs, interview scorecard questions and job team. It is not sent for approval, so you still need to review it and submit it yourself.
There are no bulk actions and no tick boxes. Everything is done one job at a time. Actions such as pausing, closing, archiving and publishing are on the job's own page, not in this menu.
Creating a job and resuming one
Select Create Job at the top right. It is shown to System Admin, HR and Member users. Members do not see it when the organisation has approvals switched off, and Agency users never see it. If your organisation belongs to a group, users with group access also have a Group jobs item in the left-hand menu, where they choose the company when raising a job.
To carry on with something you started, set Status to Draft or Pending Setup, open the job, and use the button at the top of its page: Continue Draft Job for a draft, or Go to Setup for a job in Pending Setup (and for a draft when approvals are switched off).
Empty pages and errors
- No jobs yet: shown only when your organisation has no jobs at all that you can see. Users who can raise jobs also get a Create Job button.
- No jobs match your current filters: shown when the search and filters return nothing. The toolbar stays in place so you can change them. This is what you see on the default Published view when you only have drafts.
- Error loading jobs. Please try again.: refresh the page. If it keeps appearing, contact support.
