The two layers of access that shape your experience of Recruit.

What you can see and do in Recruit depends on two separate layers of role: your system role, set once for your whole account, and your job-level role, which can vary from job to job.

System roles

Your system role decides your access to organisation-wide areas like company settings, user management, and reporting. Typical system roles include:

  • Admin: full access to configuration, users, and settings across the organisation.
  • HR: broad access to candidates, reporting, and most configuration, without full administrative control.
  • Member: standard access, scoped mainly to the jobs you're directly involved with.

Job-level roles

Separately, each job has its own team, and the people on that team hold job-level roles:

  • Recruiter: manages the job day to day, including the pipeline, candidates, and scheduling.
  • Hiring Manager: collaborates on shortlisting and interview feedback, without configuring the job itself.
  • Interviewer: joins interviews and submits feedback, with the narrowest access of the three.

Some areas are restricted regardless of job-level role. For example, References is limited to Admin, HR, and assigned recruiters, so Hiring Managers and Interviewers won't see it even on jobs they're part of.

Why this matters day to day

Because these two layers combine, two people with the same job-level role can have different overall access if their system roles differ, and the same person can have different effective access on different jobs depending on who's been added to each job's team.

If something you expect to see is missing, for example a settings page, a report, or a candidate, check with your Recruit administrator whether it's a system-role or job-team issue before assuming it's a fault.

Getting added to a job

Being added to a job's team, and in what role, is normally done by whoever set the job up (usually a Recruiter or Admin). If you need access to a job you're not on, ask them to add you rather than requesting a change to your system role.
