Using the dashboard

What every figure and panel on the Dashboard counts, how My Tasks works, what the Company filter does and what each role sees.

The Dashboard is the home page of Recruit. It has four headline figures, a pipeline chart and up to three panels: My Tasks, Recent Activity and, for some people, Onboarding. To open it, select Dashboard in the menu or the Recruit logo at the top of the menu.

System Admin, HR and Member users have a Dashboard. Agency users do not.

The four headline figures

Each figure is a link. Selecting it opens the matching list. Three of the four count from the first day of the current month, at midnight in your browser's time zone.

FigureWhat it countsWhere it opens
Open JobsJobs that are published right now. It is not limited to this month.Jobs, filtered to published jobs
Active CandidatesCandidates who were added to Recruit this month and who have at least one live application on a published job. Rejected, withdrawn, hired, disqualified, incomplete and transferred applications do not count. A transferred application is one that was moved to a different job, and the new application is counted instead.Candidates, on the Active tab
Interviews This WeekInterview slots that are booked in the current week, Monday to Sunday. Cancelled and attended bookings do not count. The month has no effect on this figure.Interviews, on the current week
Hired This MonthApplications marked as hired since the first day of the month, whenever the person applied.Candidates, with no filter applied

Active Candidates is the figure people misread. A candidate added last month who is still in your pipeline is not counted, so it will be lower than the number of people you are actively considering, particularly at the start of a month. The Candidates list that the card opens is not limited to this month either, so its total will usually be larger. The same applies to Hired This Month: the list it opens is not filtered to this month's hires.

These figures use the same definitions as the Reports area. "Reports overview" covers the report pages.

Pipeline Overview

Below the panels, the chart shows one bar per pipeline stage. Each row gives the stage name, the number of applications in it and that number as a percentage of all the applications in the chart, to one decimal place. Only live applications are counted, and only those submitted since the first day of the month. Rejected, withdrawn and hired applications are left out. Stages that share a name, type and position across different jobs are combined into one row. When there is nothing to show, the panel reads "No active pipelines. Your hiring pipeline will appear here once you have applications."

My Tasks

My Tasks lists the jobs Recruit expects you to do next. A task is a short to-do item tied to a candidate and a job. A badge next to the panel title shows how many open tasks you have in total.

Where tasks come from

You cannot create, edit, reassign or delete a task. Recruit creates them for you in three situations.

  • Review new application is created when a signed-in user adds an application, for example when you add a candidate to a job. It goes to the person who added the application. Applications that arrive through the careers page, from an agency or from a job board create the task with nobody assigned, so it does not appear on anyone's list. An application that is still being filled in on the careers page does not create one.
  • Submit interview feedback is created when someone moves an application into an interview stage. It goes to the person who moved it.
  • Send offer to candidate is created when someone moves an application into an offer stage. It goes to the person who moved it.

Only one open task of each kind exists for an application at a time, so moving an application into the same kind of stage again does not add a duplicate. Once the task is completed, a later move can create a new one.

Who sees a task

Only the person it is assigned to. Admins and HR users do not see other people's tasks on their own Dashboard.

Reading the list

Each task shows its title and a priority badge: Urgent, High, Medium or Low. The list is ordered by priority, most urgent first, then by due date, earliest first. A task with a due date shows it underneath the title as Overdue (in red), Today, Tomorrow or Due followed by the date, for example "Due 14 Oct". The tasks Recruit creates are Medium priority and have no due date.

Five tasks load at first. Scroll to the bottom of the list to load the next five.

Opening and completing a task

  1. Select the task title to open the candidate on the application the task belongs to. A task that is not tied to a candidate shows plain text instead.
  2. Select the arrow at the right of the task to open the candidate, or the job if the task has no candidate.
  3. Tick the checkbox at the left to complete the task. It leaves the list straight away and the count drops by one.

A completed task cannot be brought back from the Dashboard, and ticking the box does not do the work for you. Completing "Send offer to candidate" does not send an offer. When nothing is waiting, the panel reads "All caught up! No pending tasks."

The Onboarding hub also has a tab called My Tasks. That is a separate list of onboarding tasks. See "The onboarding hub".

Recent Activity

Recent Activity lists the latest events in your organisation, newest first, ten at a time. Scroll to the bottom to load more. Each entry shows a description, the person who did it and how long ago, such as "5m ago", "3h ago", "Yesterday" or "4d ago". Entries are not links.

These events appear:

  • Jobs created, published (including publishing to job boards), closed, approved and duplicated.
  • New applications, and applications moved to another stage.
  • Offers created and offers sent.
  • Candidates added.

Admin users see events across the organisation. HR users restricted to certain locations, and Members, see events for the jobs they can access and for the applications and candidates on those jobs. On a job with confidential shortlisting, a candidate's name is replaced by their application reference for anyone who is not yet allowed to see it. With no events to show, the panel reads "No recent activity yet. Activity will appear here as you manage jobs and candidates."

Onboarding panel

The Onboarding panel appears for System Admin and HR users, and only when your organisation has onboarding turned on. Members never see it, although they can open the Onboarding hub from the menu.

It has three counts and a short list.

  • Active: onboardings in progress.
  • Completed: onboardings that have finished.
  • Overdue: onboardings in progress that have at least one task which is neither complete nor skipped and whose due date is before today.

Beneath the counts are up to five of the most recently started onboardings that are still active. Select a name to open that candidate's onboarding tab for the application they are being onboarded on. HR users restricted to certain locations only see onboardings for jobs in those locations, and candidates hidden from the candidates list are left out of the counts. With no active onboardings the list reads "No active onboardees." If the panel cannot load, it says "Failed to load onboarding data." and the rest of the Dashboard carries on working.

Approvals

The Dashboard has no approvals panel. Jobs waiting for your approval are listed under My approvals in the menu. "The approval workflow" and "Approving, rejecting and withdrawing a job" explain what to do there.

The Company filter

The Company filter sits at the top right of the Dashboard. It only appears for people who have group access to companies beyond their own. Its options are:

  • All group: your own organisation and every company you can reach.
  • Parent only: your own organisation.
  • One entry for each subsidiary you can reach.

The filter changes the four headline figures and Pipeline Overview. It does not change My Tasks, Recent Activity or Onboarding, which always show your own organisation. For group users, the figures cover everything in the companies selected rather than only the jobs you can personally open. "Groups and subsidiaries" explains group access.

What each role sees

RoleWhat the Dashboard shows
System AdminEverything, across the whole organisation, including the Onboarding panel when onboarding is on.
HRThe same panels as an Admin. If your access is restricted to certain locations, the figures, Pipeline Overview, Recent Activity and Onboarding panel only cover jobs in those locations.
Member (including hiring managers and interviewers)The four figures, Pipeline Overview, My Tasks and Recent Activity, limited to the jobs you can access. No Onboarding panel.
AgencyNo Dashboard.

"Understanding roles and permissions" and "Navigating Recruit" describe the rest of what each role can reach.

If a panel does not load

Each panel loads on its own. If one fails, a short error appears in its place and the others keep working. Refresh the page to try again.
