How the My Tasks list on your Dashboard works: where tasks come from, what they show, and how to clear them.
The My Tasks card on the Dashboard is a short list of follow-up jobs that Recruit raises for you as candidates move through your hiring process. You tick a task off when you have done the work. You do not create these tasks yourself, and the card shows only tasks assigned to you.
Who sees My Tasks
System Admin, HR and Member users see the Dashboard, and therefore the My Tasks card. Agency users do not have a Dashboard. Everyone sees only their own tasks. A colleague's tasks never appear on your card, and yours never appear on theirs, whatever their role.
Where tasks come from
Recruit creates a task automatically in three situations.
- Review new application. Created when you add a candidate to a job yourself. It is assigned to you, the person who added them.
- Submit interview feedback. Created when you move a candidate into an interview stage. It is assigned to you, the person who moved them.
- Send offer to candidate. Created when you move a candidate into the offer stage. It is assigned to you, the person who moved them.
Each of these tasks is linked to the candidate and the job. Only one task of each kind can be open for the same application at a time, so moving a candidate around within the same stage type does not stack up duplicates. If you complete the task and the candidate later enters that stage type again, a new task is raised.
Applications that arrive without a recruiter behind them, such as a candidate applying through your careers page or an agency submitting a candidate, do not have a person to assign the review task to. Those applications do not put anything on anyone's My Tasks card. A candidate who has only completed the first page of a multi-page application form does not trigger a task either. The task is raised once the application is complete.
Tasks are not created for stage moves that do not involve an interview or offer stage, and there is no button on the card for adding your own task.
What each task shows
- The task title. If the task is linked to a candidate, the title is a link to that candidate's profile.
- A priority badge: Urgent, High, Medium or Low. The three automatic tasks above are all Medium.
- A due date line, when the task has a due date. It reads Overdue (in red) once the date has passed, Today, Tomorrow, or Due followed by the day and month. Tasks raised automatically do not have a due date, so they show no date line.
- An arrow button on the right that opens the candidate's profile, or the job if the task is linked to a job only.
The number in the badge next to the card title is the total count of open tasks assigned to you.
How the list is ordered
Tasks are sorted by priority first, with Urgent at the top and Low at the bottom. Within the same priority, the task with the earliest due date comes first, and tasks with no due date come after those that have one. The card shows five tasks at a time. Scroll to the bottom of the list and the next five load.
Completing a task
- Open the Dashboard.
- Find the task in the My Tasks card.
- Tick the checkbox to the left of the task.
The task is marked as completed and leaves the list, and the count in the badge drops by one. There is no undo on the card. When the list is empty it reads All caught up! No pending tasks.
Completing a task only clears the reminder. It does not do the underlying work. Ticking off Send offer to candidate does not send an offer, and a task is not completed for you when you submit feedback or send an offer. You tick it yourself.
The Dashboard card has no delete control. Tasks cannot be deleted or reassigned from it.
How this differs from onboarding tasks
Onboarding tasks are a separate list. They belong to a candidate's onboarding process, and they are managed from the onboarding area of the main menu, on the My Tasks tab. That tab lists the internal onboarding tasks assigned to you, with the candidate, job title, due date and a Complete button. System Admin and HR users see pending internal onboarding tasks across the organisation, and Members see the ones assigned to them.
