Feedback from interviews shows up in three places: the candidate's Notes and Feedback tab, the feedback screen for an individual interview, and the lists on the Interviews page. This article explains what each one shows, how the scores are worked out, and why some people see less than others. For how to fill in and submit a scorecard, see "Submitting interview feedback". Where to find feedback

There are two routes, and they show different amounts of detail.

  • The candidate's Notes and Feedback tab lists each piece of feedback as a short entry: reviewer, recommendation and notes. It does not show scorecard answers.
  • The feedback screen for an interview shows the full scorecard, the Feedback Summary and the Team Feedback panel. You reach it from the Interviews page (see below).

The Notes and Feedback tab

Open a candidate and select the Notes and Feedback tab. At the top is an Interview Feedback card headed by a count such as "3 feedback entries". Each entry shows:

  • The interviewer's name, or "Anonymous interviewer" if the name is not available.
  • Their recommendation as a badge: Strong hire, Hire, Maybe, No hire or Strong no hire. These are the same five choices interviewers pick from (Strong Yes to Strong No), worded for hiring.
  • Any additional notes they wrote.
  • The date, the job title and the stage, on one line underneath.

For people who can see entries, the card is hidden when the candidate has no feedback yet. The entries themselves are shown to System Admin and HR users only. Anyone else who opens the tab sees the card with the message "Interview feedback is visible to recruiters and hiring managers only" and no entries, even if they are a recruiter or hiring manager on the job. If you are in that position, use the feedback screen described next.

The card lists feedback across every job the candidate has applied for, newest first.

The feedback screen for one interview

From the Interviews page, select Submit Feedback on a row in Feedback Required, or View Feedback on a row in Completed Interviews. Interviews in the calendar also open this screen when you select them.

The screen has three parts, top to bottom:

  1. Your own scorecard. Before you submit it is a form. Afterwards the heading changes to Feedback Submitted, your recommendation shows as a badge next to the stage name, and every answer is read-only. Submitted feedback cannot be edited. Leaving the form without submitting saves nothing.
  2. Feedback Summary, the combined picture from everyone who has submitted.
  3. Team Feedback, each reviewer's individual submission.

Both panels cover all feedback recorded against that application, not only the stage you opened. If a stage has no feedback form applied, the scorecard area reads "No feedback form for this stage" and nothing can be submitted for it until someone applies a form to the stage.

Feedback Summary

The summary panel can contain the following, from top to bottom.

  • Total Reviewers: the number of submissions recorded. This is shown even when it is zero.
  • Overall Score: one number to one decimal place, followed by a Meets threshold or Does not meet threshold badge when the stage has a pass threshold.
  • Respondents: how many different people have submitted, shown as "2 / 3" against the minimum the stage asks for, with a Minimum respondents met or Minimum respondents not met badge.
  • Average Scores: one line per rating question, with stars and the average to one decimal place.
  • Recommendations: a badge per recommendation given, with the number of reviewers who chose it, for example "Yes (2)".

How the scores are calculated

Only rating questions count. Yes/no switches and free text are ignored by every calculation.

  • Each average under Average Scores is the mean of all reviewers' ratings for that question, rounded to one decimal place. The stars are rounded to the nearest whole star.
  • When a reviewer submits, Recruit works out their own overall score: the average of their ratings, rounded to a whole number. The Overall Score is then the mean of those whole numbers across reviewers, to one decimal place. Because of the early rounding, it can differ slightly from the mean of the question averages.
  • A submission with no rating questions does not affect the Overall Score. If nobody has given any ratings, the row is not shown.
  • Rating questions run from 1 up to a maximum set on the feedback form, 5 by default and up to 10. Scores from forms with different maximums are added together as they are, not converted to a common scale.

When the threshold and respondent badges appear

The pass threshold and minimum respondents are set per stage, in the pipeline setup for the job, on an Interview stage next to the feedback form (Pass Threshold and Minimum Respondents). The summary only shows the badges when all the feedback so far comes from one stage and that stage has the setting. If the candidate has feedback from two interview stages, the averages and the overall score still appear, but the threshold and respondents lines do not.

The threshold is compared with the Overall Score as it stands, so set it on the same scale as the form's ratings. A threshold of 4 on a form scored out of 5 means something very different from 4 on a form scored out of 10. Respondents counts distinct people, so nobody is counted twice.

Team Feedback

This panel lists every submission for the application, with Total Reviewers in the top corner. If nothing has been submitted it says "No feedback submitted yet." Each submission is a card with:

  • The reviewer's name and their Overall Recommendation as a coloured badge.
  • Their rating answers as stars, labelled with the question.
  • Their yes/no and written answers, labelled with the question.
  • Their Additional Notes.

Questions shown as they were answered

Each submission keeps the questions exactly as the reviewer saw them. If someone later renames a question, removes it, changes the form or deletes the form, earlier scorecards do not change. Feedback from before this copy was kept has no saved wording, so its answers are labelled with the current questions and carry the note "Original question wording unavailable". Treat the labels on those entries with care, because the question may have been reworded since.

Who can see other reviewers' feedback

The Feedback Summary and Team Feedback panels are open to:

  • System Admin and HR users, for any application (HR users with restricted location access still only reach jobs in their locations).
  • Other users who are a recruiter or hiring manager on the job, who have been assigned to interview that candidate, or who are in the interviewer pool of the candidate's current stage.

Anyone else gets an "Application not found" error if they try to open the screen. Agency users cannot open the Interviews page at all.

What blind scoring changes

Blind scoring is a switch on the job. It is under the job's Settings tab as Blind Scoring, and organisations can turn it on for new jobs by default under Settings then Shortlisting Defaults. Once a job is approved or live, only System Admin and HR users see the switch.

System Admin and HR users see everything as normal. Everyone else who opens the screen sees a reduced view:

  • Feedback Summary shows only Total Reviewers. The overall score, averages, recommendations, threshold and respondent lines are all withheld.
  • Team Feedback shows "Reviewer 1", "Reviewer 2" and so on instead of names. Each card keeps the recommendation and any yes/no answers. Ratings, written answers, notes and submission dates are removed.
  • Your own submission, shown in the scorecard at the top, is not masked.

What confidential shortlisting changes

Confidential shortlisting hides the candidate rather than the reviewers. Where someone is not allowed to see who the candidate is, the Interviews page lists show "Candidate" followed by the application's reference number instead of a name. This applies to hiring managers and interviewers, and to recruiters until the application is revealed. It also applies to System Admin and HR users who sit on the hiring team of that job. Identities are revealed either automatically when the application reaches the job's Auto-Reveal Stage, or by someone using Reveal Identity. Feedback is not lost or delayed by any of this: it is recorded and counted as normal.

How thresholds affect moving a candidate

A missed threshold never blocks a move. When you move a candidate forward out of an Interview stage that has a pass threshold or a minimum number of respondents, the move goes ahead and a warning appears with it:

  • "Interview feedback score 3.5 is below the required threshold of 4." This appears when at least one reviewer has submitted and the overall score for that stage is under the threshold.
  • "Only 1 of 3 required interview feedback responses have been submitted." This appears when fewer people have submitted than the stage's minimum, including when nobody has.

The numbers shown are the ones for the stage the candidate is leaving. The warnings apply to any forward move, not only a move to an offer.

Finding feedback from the Interviews page

Open Interviews from the main navigation. Every role except Agency can open it. System Admin and HR users see every interview in the organisation (subject to any location limits on their account). Members see interviews on jobs where they are the hiring lead or on the job team, and only where they are a recruiter or hiring manager on the job, are assigned to the interview, or are in the stage's interviewer pool.

Filters at the top narrow all three lists: Job, Interviewer, Location and a date range, with Clear filters to reset them. The date range applies to Feedback Required and Completed Interviews, not to the calendar.

  • Booked Interviews is the weekly calendar of upcoming booked interviews. Interviews you have already given feedback on drop off it. Selecting one opens its feedback screen.
  • Feedback Required lists interviews that have started and where you have not yet submitted feedback, newest first. Each row shows the date and time, candidate, job, stage and the interviewers assigned. Submit Feedback opens the scorecard, with the summary and team feedback below it. The empty state reads "No pending feedback, you're all caught up!"
  • Completed Interviews lists interviews where you have submitted feedback. View Feedback opens the read-only scorecard with the summary and team feedback below it. The empty state reads "No completed interviews yet".

Both lists show 10 rows a page with Previous and Next controls.

Why an interview is missing from the list

  • The lists are personal. Completed Interviews holds interviews where you submitted feedback, not everything the team has completed. To read a colleague's feedback, use the candidate's Notes and Feedback tab (System Admin and HR) or open the interview from the list.
  • Rows are tied to the candidate's current stage. Once the candidate moves out of the Interview stage, the row leaves both lists. Their feedback is still on the candidate's Notes and Feedback tab.
  • An interview only moves into Feedback Required once its start time has passed.
  • Ad-hoc interviews do not appear in these lists and have no scorecard.
  • If you are not on the job team, assigned to the candidate or in the stage's interviewer pool, you will not see the row at all.
